This is an exciting role for someone looking to use their excellent administrative skills to make a significant difference in the world. The ideal candidate is highly self-motivated, professional, has strong attention to detail and can manage a varied workload and important priorities. You will be working with a small, committed and high-quality team.

Key Responsibilities:

This role is responsible for a wide variety of administration and coordination that will contribute to our global ministry objectives, strengthen our current operations and maximize potential, strategic opportunities for growth.

Key responsibilities include:

  • Travel Coordination
    • Includes managing visa requirements, flight bookings and insurance matters
    • Itinerary development and liaison for partners travelling to the field
  • Compliance/finance
    • Assist with governance matters such as compliance and reporting requirements for relevant regulators
    • Bookkeeping (dependent on the successful applicant's skillset)
  • Board support
    • Aid in the preparation and distribution of board papers
    • Minute secretary as required
  • Team support
    • Understanding other roles and responsibilities in the team
    • Providing back up and support for other team members as required
    • Documentation of roles and responsibilities
    • Analyse and revise operating practices for improved efficiency
  • Event management
    • Co-ordinate and manage meetings and event bookings
    • Organize and assist with events such as seminars, dinners etc
  • Record Keeping
    • Maintain hard copy and digital files for ongoing executive projects
    • Database management
  • Research
    • as required for executive projects (eg. comparing and recommending best value products and services)
  • Correspondence and Communications
    • Drafting letters, emails and other essential communications
    • Supporting other team members in this role
    • Writing/ Editing reports, proof reading etc

Education and Experience:

  • Minimum 5+ years of relevant experience
  • Proven experience in administration systems and processes
  • Advanced Microsoft Office skills, with an ability to become familiar with organisation-specific programs and software
  • Bookkeeping experience is beneficial

The role reports directly to the President.
