The Baptist Union of Victoria (BUV) is an association of more than 250 Baptist churches, faith communities, micro churches and Baptist agencies in Victoria. It is a non-profit organisation, with a vision to be a union of flourishing churches with Christ-like followers that redeem society. We do this by encouraging, equipping and empowering our local churches for mission.

Baptists are grass-roots people, with a particular emphasis on the local church. These local churches are self-governing and self-supporting, ranging in size from twenty or so members to several thousand. Although each Baptist church is an independent entity, Baptists nonetheless have always believed in associating with one another - and so churches come together in regional, national and international spheres to promote and support the fellowship of Baptists everywhere.

At the BUV Support Hub, we promote and live out the values of faith, community, servanthood, stewardship and respect.


The Executive Assistant (EA) provides high-level professional, administrative and strategic management assistance to the Director of Mission & Ministries (DoMM) to support him/her in the achievement of their strategic goals and responsibilities.

The EA is responsible for managing the Office of the DoMM in such a way that facilitates him/her being their most productive and effective. Working in partnership with the DoMM, the EA is also responsible for helping manage executive energy, focus, priorities and relationships to help facilitate the best outcomes for the DoMM.

The EA reports directly to the DoMM and as an integral part of the organisation, will have direct involvement with key stakeholders. The EA is responsible for helping manage these relationships.


  • Work closely and effectively with the DoMM to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Serve as a key point of contact for the DoMM, responding to internal and external enquiries.
  • Manage the DoMM's schedule/calendar in line with identified and understood priorities.
  • Complete a variety of administrative tasks for the DoMM including drafting and editing correspondence and reports, prepare travel arrangements, electronic filing, budget, and expense management.
  • Social media engagement on behalf of the DoMM.
  • Provide a bridge for smooth communication between the DoMM Office and Staff teams, demonstrating leadership to maintain credibility, trust, and support with Team Heads.
  • Assess and manage the flow of information and communications to the DoMM.
  • Attend all Union Council meetings and workshops to carry out minute-taking and other administrative support.
  • Participate in and contribute to meetings as well as minute-taking for Leadership Team, Strategic Alignment meetings and other meetings as required.
  • Manage logistics for meetings, workshops, and events, as needed.
  • Research and project management as required.
  • Attend relevant events with the DoMM as appropriate (to provide insight and assistance).
  • Provide a level of pastoral awareness and care to Staff.
  • Support initiatives emanating from the DoMM Office and act as an advocate or champion as required.
  • Pastoral Search Advisory Group - administer the activity of PSAG including monthly reporting, minute-taking of meetings, follow up actions and responding to related enquiries.
  • Other duties as directed by the DoMM.

  • Demonstrated ability to achieve goals, assess priorities and meet deadlines.
  • Proficiency with the Microsoft Office Suite, CRM and other relevant technologies.

  • Minimum of five years demonstrated working history in a similar role
  • Desirable: previous experience in a faith-based organisation or not-for-profit sector
  • Previous experience at Board level minute-taking and administrative support preferred


  • Relevant qualification in Business Administration or tertiary qualification
