National Office Administrator

Are you passionate about using your administration skills to make a real difference in the lives of others? International China Concern Australia is seeking a part time (24hrs per week Monday-Thursday) Administrator for our Melbourne-based office.

International China Concern is a Christian development organization bringing love, hope and opportunity to some of the most vulnerable children and families in China. As one of 7 global national offices, the Australian National Office exists to empower and inspire Australian donors to participate in the mission of ICC and to raise funds and staff to support our projects in China.

Working with a small, ambitious team you will facilitate the day-to-day administrative functions of the Australian national office. You will often be the first point of contact for donors with the organization and will provide excellent and timely communications with supporters, donation processing and reconciliation and accurate maintenance of donor records.

Your key responsibilities:

  • Undertake all general administrative tasks to ensure efficient running of the National office.
  • Process all financial transactions in relation to general or monthly donations, team fees and/or sponsorship payments.
  • Ensure all transactions are accurately entered within the ICC database (CRM).
  • Issue receipts for all donations within specified timeframes
  • Monitor monthly giving and contact lapsed donors as required.
  • Manage prompt allocation and distribution of thank you letters to donors.
  • Respond to Child Sponsorship and Family Partners Program enquiries and process applications in conjunction with the International Donor Communications Manager.
  • Work with the International China Teams manager to process team applications.
  • Manage the monthly prayer calendar distribution.
  • Oversee office volunteers.

You will need to demonstrate:

  • Strong communication skills (phone, written, face-to-face) with the ability to relate with confidence with a wide variety of individuals/organizations.
  • Strong computer and software skills with intermediate (min) Excel skills, Microsoft Office suite, Google suite and web systems essential.
  • Previous CRM experience preferred.
  • Excellent organization skills with attention to detail and well-developed time management skills
  • Ability to problem solve and think laterally.
  • Previous experience with financial processing across multiple platforms and receipting of donations.
  • Understanding and commitment to walk out International China Concern’s vision, mission, and culture.
  • Personal commitment to the Christian faith and active church involvement with a desire to see lives transformed by the gospel through demonstrations of justice and mercy to those in need.
