Role Description


WHO WE ARE

Gordon Baptist Church is a diverse community learning life together under the lordship and teaching of Jesus. We believe He both shows us how and empowers us, to make the most out of life and to live it well in His service.  Our purpose is to build a distinctive community of God’s people growing in our communion with God, community with one another and commission within our world. We desire to be a growing body of Christ’s people, responsive to the Holy Spirit, supportive of one another and effective in expressing God’s love and truth to all people. We are a member of the Association of Baptist Churches in NSW & ACT and hold to the Statement of Beliefs adopted by the Baptist Churches of NSW and ACT. 

Gordon Baptist is a multicultural and multigenerational church, with an average total attendance of 350 congregants across four regular Sunday services (two English, one Cantonese, one Mandarin), in addition to thriving outreach, family, youth, pre-schoolers and language-learning ministries throughout the week. We also have Korean and Japanese Bible study groups and a mid-week seniors service. We have a growing staff team (currently 6 pastors, FTE 5.4) and our physical home is a contemporary church building within walking distance of Gordon Station.


PURPOSE AND GENERAL DESCRIPTION

The Church Administrator is a new full-time role with the purpose of ensuring the efficient, effective and ethical management of administrative and organisational matters in the life of the church. The Administrator serves in a key role supporting the ministries and work of the church, stewarding its resources and ensuring that the church complies with all relevant legal and statutory requirements. The Administrator reports to the Church Secretary along with day-to-day management by the Senior Pastor, with other key relationships including the pastoral team and Diaconate.


PRIMARY DUTIES AND RESPONSIBILIITIES

The primary duties and responsibilities of the position include, but are not limited to:


Ministry Support and Communications

  • Ensuring clear, timely and effective communication in the church e.g. bulletins, flyers/promotions, announcements, eNews, Annual Report
  • Attending pastoral, Diaconate and committee meetings as necessary or appropriate, including acting as minute secretary for the Diaconate
  • Managing the church calendar and bookings
  • Acting as the church webmaster, ensuring content is appropriate and current
  • Providing administrative support to the pastoral team, church officers and Diaconate e.g. assisting with events management, supporting the Church Secretary and Treasurer


Facilities Management

  • Providing a business-hours presence at the church to answer inquiries and welcome visitors, providing direction or supervision when needed
  • Overseeing the maintenance of Church property and wise stewardship of its physical resources, including managing relationships with contractors (e.g. tradespeople, cleaners)
  • Managing building access and security
  • Managing procurement of goods and services and the church's asset register
  • Ensuring the church complies with all WHS requirements (e.g. fire safety drills, signage)
  • In consultation with the Secretary, managing external church bookings and inquiries


Administration

  • Developing and improving administrative practices in the church including overall management of proposed church management software system (to be implemented) eg Fluro
  • In conjunction with church staff, ministry leaders and the Diaconate, developing and implementing policies and procedures, with particular emphasis on Safe Church requirements
  • Maintaining the church database and directory
  • Managing other church records and archives (e.g. membership and baptism records, privacy forms, Safe Church records)


IT, Office, Telecommunication & Security Equipment/Systems

  • Co-ordinate support for IT issues and church wide applications, including systems for records and documentation
  • Co-ordinating or managing day to day maintenance including regular service of church equipment
  • Co-ordinating or managing day to day supplies
  • Basic Induction or instructions in relation to church equipment and systems


REQUIREMENTS ESSENTIAL FOR THE ROLE

  • Committed disciple of Jesus
  • Theology aligned with GBC’s mission, vision and values
  • Adherence to all Safe Church, legal and insurance requirements involved in the role
  • Highly developed administrative and time management skills
  • Fluent in the use of technology and online systems
  • Strong teamwork and communication skills
  • Friendly and professional presence, including capacity for discretion and privacy
  • Holds a valid entitlement to work in Australia
  • Holds a satisfactory Federal Police Check and a current Working With Children Check clearance


DESIRABLE EXPERIENCE AND SKILLS

  • Qualifications or experience in a corporate, administrative or communications background
  • Skills in website and/or database maintenance/development
  • Multi-lingual capacity (Mandarin or Cantonese) is an advantage


ACCOUNTABILITY

  • General: Breaches of a staff member’s responsibilities, conduct and/or authority will be managed through the Code of Conduct for Staff and Volunteers and/or the church's Complaints Procedure.
  • Work Health and Safety & Regulatory Requirements: All staff members are responsible for ensuring adherence to the policies of the Church, including being held accountable for their actions and omissions where it affects their own or another person’s workplace safety, or breaches any other regulatory requirement.
  • Professional Dialogue: It is expected that all church staff undertake a regular, annual discussion of their performance.
