Tonkin Schutz design build are looking for an experienced Receptionist and Office Manager to join their team located in Edwardstown SA. 

In this role you will be directly reporting to the Operations Manager and Managing Director. You will also need to deal with clients, suppliers, subcontractors, consultants, council and other authorities.

Objective: Coordinate the administrative and executive support to the Executive Team and office personnel. Provide administrative support to other employees in the company to ensure a smooth and effective transfer of information between all relevant personnel and parties and running of head office.

Carry out a number of administrative, support and related roles in capacity of the Office Manager including the areas of Tendering and work winning, Marketing, HR Reviews and inductions as well as business development.

Key Responsibilities:

Carry out the role in accordance with the Office Manager and Receptionist Procedure:

Office Manager and Receptionist key tasks are (including but not limited to):

·       Operating and manage switchboard and reception

·       Parking and office allocation and work place provisions, staff inductions

·       Security keys/passes - allocation and record of all distribution including vehicles

·       Greeting clients and visitors and preparing refreshments

·       Maintaining presentation of reception and meeting spaces for the office

·       Photocopying, scanning and filing as required and directed by direct report

·       Booking couriers as required

·       Order and maintain office and kitchen supplies

·       General office cleaning/changing water filters, coffee machine, fridge etc

·       General typing and reception duties as required

·       Stationery orders and keeping stock up to date

·       Allocation and supply of seating and office equipment for office based staff

·       Coordination of training and social events with appropriate approvals

·       Other items as outlined in the Receptionist and Office Manager procedure


Tendering key tasks are (including but not limited to):

·       Document Control - central contact to ensure accurate control

·       Tender file structure for each tender - as agreed with executive team

·       Preparation of submission - coordination with executive team

·       Subcontractor RFTs - standard procedure with web upload of documents

·       Manage RFI process

·       Manage the required internal meetings during the tender period

·       Maintain trade contact and tender register - with executive team

·       Collate and populate tender form

·       Manage any other tasks assigned during tender such as FF&E pricing


Marketing key tasks are (including but not limited to)

·       Manage website and printed material - to be kept up to date

·       Business cards

·       Client relationship management 

·       Client contacts

·       Networking and team building functions

·       Instagram and Linkedin - to be kept up to date


Essential Skills:

1.    Possess high level of initiative and motivation with a strong attention to detail

2.    Highly developed analytical skills, ability to resolve problems and formulate strategic solutions

3.    Demonstrated high level of competence in the use of computers, computing software including Microsoft Office suite

4.    Well-developed organisational and administrative skills including the ability to work well under pressure and with competing priorities and deadlines under minimal supervision

5.    Experience in creation and formatting of word documents and system templates

6.    Demonstrated ability to produce high quality professional and corporate documents including memorandums and reports
