Administration Assistant to CEO


The Opportunity to Make a Difference:

This job exists to provide administrative support to the CEO ensuring efficient and effective management of the CEO Office.


A day in the life of WVA’s Administration Assistant to CEO includes:

Reporting directly to the Executive Assistant of the CEO, you must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among multiple priorities.

Your duties will include, but are not limited to:

·       Managing all travel requirements for CEO in liaison with Administration Manager to CEO

·       Managing all event logistics for CEO in liaison with media and event coordinators

·       Managing all logistics for CEO major meetings in liaison with Administration Manager

·       Logging of all CEO travel into organization calendar

·       Reconciliation of CEO’s credit card and travel expenses

·       Processing of vendor invoices including setting up of new vendor, invoice purchase order and payment

·       Processing of sole trader superannuation payments

·       Liaising with Finance regarding monthly CEO cost centre breakdowns


Who are you?

·       Minimum of 5 years’ experience in similar roles

·       Experience in managing the administrative components to financial processing and budgeting

·       Experience in managing Global travel

·       Year 12 and/or vocational training relevant to a professional administrative role

·       Good knowledge of Microsoft Office

·       Strong business acumen, judgement and decision making

·       Flexible and proactive mindset

·       Ability to confidently liaise at all levels


What you need to know

This role is a 6 months fixed term contract operating in a part-time capacity (3 days/week) and will be based at our head office in Burwood East, Victoria.

For your information, the interviews will start immediately, and the role may be filled before the closing date.
