Director of Finance Position Description

 

The Director of Finance is responsible for all higher-level financial aspects of Watoto Child Care Ministries Australia in line with the overall Mission, Vision and Strategic Plan of Watoto Globally. This includes oversight of finance team members, organization budgets, performance measurement and management, internal and external reporting, internal control management. The Director of Finance will also have a heavy involvement in relation to the development of financial strategies of the organisation.

 

Accountability

The Director of Finance reports to the Country Director.

The Director of Finance is accountable to the Country Director and Board of Directors (AU).

 

Statements of Responsibility

The Director of Finance reports directly to the Executive Director, and will supervise the financial team staff (AP/AR and Financial Administrator). The Director of Finance provides accounting knowledge and expertise to the team to ensure appropriate accounting and record-keeping in accordance with Generally Accepted Accounting Standards and best practices for not for profit organisations. The Director of Finance will ensure that all donations and pledges are received and accounted for. The Director of Finance will be responsible for managing a complex chart of accounts and general ledger, and be accountable for financial planning and monthly financial reporting and analysis. Preparation of year-end financial statements and a full audit package for external auditors is required. Lead and assist with the annual budget preparation and subsequent monthly monitoring against actuals. An understanding of relevant tax receipting legislation is required to ensure appropriate tax receipting to donors.

 

Finance:

·       Provide recommendations to the Country Director for all financial decisions related to Watoto Australia.

·       Manage a complex chart of accounts, GL, and financial planning using the restricted fund method.

·       Produce monthly financial reports for the Director, with variance analysis as required: Statement of Financial Position; Statement of Operations; Statement of Designated Funds.

·       Prepare and distribute monthly financial reports for Uganda: Budget-to-Actual reports as requested; Intercompany transactions with Watoto Uganda; Salaries information from monthly wire for Uganda; WISE system contribution reports for WISE team.

·       Review monthly wire of funds to be sent to Uganda.

·       Review monthly wire of funds to Uganda, ensuring accuracy and completeness.

·       Correspond with Uganda and other offices regarding all financial matters occurring between global offices.

·       Fully responsible for Year-end Financial close:

o   Close Accounting file and roll forward into new year;

o   Produce year-end financial statements, including all year-end and closing journal entries.

·       Coordinates year-end audit with external auditors and prepares full audit package.

·       Responsible for preparing the annual budget forecast for Board approval.

·       Responsible for all aspects of payroll, including: setting up new employees in the payroll system and with our benefit providers, preparing bi-monthly payroll for staff inclusive of changes required, prepare taxation reports for employees, prepare end of contract reports for staff terminations and/ or end of contract and/ or staff leaving.

·       Responsible for supervising the Financial Administrator, Accounts Payable and Accounts Receivable staff members and other staff members as designated by the Country Director. Assigning tasks, answering questions, monitoring workloads, ensuring efficient processes and performance.

·       Handle all general matters regarding finances, including external inquiries about the Watoto Australian office’s financial performance.

·       Review annual tax receipts before they are prepared in final and sent to supporters.

·       Provide guidance on ACNC legislation as it pertains to not for profit organisations, and ensure compliance with such legislation.

·       Update ACNC records as directed by the Country Director and/ or Chairperson of the Board of Directors.

·       Prepare and file GST rebates, Worksafe premiums, and other legislated filings in a timely manner.

·       Choir-related tasks – involved with Choir tour goal setting to ensure proper financial goals. Engaged in ongoing financial monitoring of Choir including merchandise sales, offerings, etc. Provides input in ways to improve performance as needed.

·       Provide a weekly accounts balance of all accounts to the Chairperson of the Board of Directors and Country Director.

·       Financial institutions; Visit Africa teams; Watoto Australia staff members; individuals with financial enquiries; the Country Director and Board of Directors.

 

Qualifications, Experience, and Skills/Abilities Required for Position

·       Professional Accounting designation required (CPA, CA, CGA, CMA).

·       Minimum 5 years working in the accounting field is required, not for profit experience is preferable.

·       Comfortable working in an environment of changing IT systems, highly skilled in Excel and Microsoft office.

·       Experience with financial statement development and reporting.

·       Strong communicator with excellent and proven interpersonal skills.

·       Experience using web based accounting and information systems.

·       Must be detail oriented, analytical, personable, able to learn quickly, and able to multi-task.

·       Must be able to work well under pressure, prioritize, and meet deadlines.

·       A strong devotion to ethics is required.

·       Must be trustworthy, honest and reliable.

·       A focus on maintaining confidentiality.

·       A high level of organizational ability and attention to detail are essential.

·       Able to receive directions and instructions from others.

 

Other General Tasks

·       Manage accounting and administrative records.

·       Assist with clerical tasks as required.

·       Perform additional tasks as requested by the Country Director or Board of Directors.
