Administration Assistant (Full Time)


The Mission

IJM is a global organisation that protects the poor from violence throughout the developing world.  IJM partners with local authorities to rescue victims, bring criminals to justice, restore survivors and strengthen justice systems. IJM lawyers, investigators, social workers, community activists and other professionals collaborate with local law enforcement to combat slavery, sex trafficking, rape, police brutality, property grabbing and other forms of violence.

The Position

International Justice Mission Australia has an opportunity for an extraordinary administrator to join our growing team.  To be successful in this role your passion for organisation, excellence in administration and your heart for justice will shine, as you use your skills and talents to advance IJM’s work to bring an end to slavery. 


In your role as Administration Assistant you will:  


·       Work closely with all members of our team and be the go-to person for administrative support

·       Manage all travel arrangements and itineraries for domestic and international travel for our small team, including flight bookings, ground transport, and line by line itinerary creation 

·       Manage the group calendar to ensure all staff are informed of team events and important dates

·       Support staff with data entry and maintenance of contact and supporter accounts in CRM

·       Support staff with regular reporting processes which includes creating queries and exports from our CRM and compiling relevant information into both data-based and narrative reports

·       Circulate agendas, take minutes and action items for team meetings

·       Manage credit card reconciliations for staff with company cards

·       Coordinate speaking engagement bookings and equip IJM’s speakers with relevant materials and resources prior to events

·       Develop and maintain documents, collateral, resource stock and presentations for the promotion of IJM

·       Send our regular news updates and general communications to supporters

·       Provide customer service to supporters or respond to general enquiries over the phone or by email

·       Participate in and support IJM Australia’s key events as required

·       Ideally you will also be able to provide basic bookkeeping and account reconciliation support to the Finance Manager, or be willing to learn these skills. 


Skills, Experience and Attributes


To be successful in this position you will: 

·       Be passionate about great administration, and understand the impact this has on our team and how it critically contributes to how efficiently and effectively we operate

·       Have administration and/or customer service skills

·       Be an excellent communicator with the ability to write professional email correspondence and have a genuine and confident phone manner

·       Have a strong capacity to follow, evaluate and improve processes

·       Ability to create and maintain accurate process documentation and efficient record-keeping systems

·       Be an organiser. You will love bringing order to things, have excellent time management skills and the ability to self-manage priorities and workload

·       Excellent experience with Client Relationship Management (CRM) systems or similar databases (preferably within a Not For Profit environment)

·       A keen attention to detail

·       Sustained positive attitude

·       A Certificate IV in Business or Administration, or a similar or higher qualification

·       Proficiency in Microsoft Office suite and the knowledge or ability to quickly learn how to use cloud based collaboration tools such as CRM, Slack, Asana etc

·       Deep understanding of biblical justice
