Position Title:          Executive Assistant to Executive Director

Reports to:              Executive Director

Position Address:    99 Macquarie St, Sydney

Salary:                    Depending on the successful applicant’s abilities/experience

Employment Status: 1 year contract - Part time (3 day equivalent)

The role of the Executive Assistant will be to assist the Executive Director and CPX team by:

·       managing the ED’s commitments, including diaries, meeting arrangements, travel plans and acting as gatekeeper;

·       managing ED’s emails and correspondence;

·       managing incoming and outgoing communications from the CPX office;

·       building and maintaining profiles together with co-ordination and scheduling of major donor visits and communication for ED and the Strategic Partnerships and Marketing Manager;

·       monitoring tasks given to the CPX team to ensure project delivery, in particular coordinating reports and executive responsibilities;

·       assisting with meetings and materials;

·       performing general office duties.

Qualifications – Desirable:

Degree/diploma or equivalent experience (ie, prior learning and/or formal qualifications). A qualification in communications, writing or theology would be an advantage.

Knowledge, Skills & Experience (Essential):

·       At least 3 years’ experience in office management at a senior level

·       Proven communication and interpersonal skills

·       Self-motivated and shows initiative

·       Superior organisational, presentation and interpersonal skills 

·       Understanding of common software and social media platforms 

·       Capability to work across PC and Mac platforms 

·       Ability to prioritise

·       Ability to work well under pressure

·       Ability to work independently and as part of a team

·       A preparedness to respond to needs of an international organisation outside office hours

·       An ability to manage both upwards and across the organisation 

·       A friendly and patient manner an understanding of and commitment to the Christian and non-government charity sectors

·       A good understanding of the organisation’s systems and protocols

Knowledge, Skills & Experience (Desirable):

·       Previous work in Not for Profit/Church/Charity.
